Job Summary
Main Functions:
šInbox Management: Efficiently managing incoming emails, prioritizing them, responding when necessary, and ensuring timely follow-ups. šProcess Improvement: Identifying areas for streamlining and optimizing existing workflows and procedures to enhance overall efficiency and productivity. šClient Database Management (Data entry and upkeep): Maintaining an organized and updated client database, ensuring accurate data entry, and managing client information securely. šCalendar Management: Scheduling appointments, meetings, and events, coordinating with team members, and ensuring all schedules are synchronized and well-maintained. šSales Support: Assisting the sales team with tasks such as preparing sales materials, managing client leads, and providing administrative support to ensure smooth sales operations. šCommunication and Documentation Support: Facilitating effective communication within the team and with clients, as well as assisting in preparing various documents, reports, and presentations as needed. šOther Admin Work/Assistance: Providing general administrative support as needed, including tasks such as filing, organizing documents, making travel arrangements, and handling other ad-hoc requests. šResearch: Conducting research on various topics as assigned, gathering relevant information, and providing summaries or analyses to support decision-making and strategic planning.
Requirements
šAt least 2+ years of relevant working experience šStrong background in executive and administrative assistance, experience in providing sales support is a plus! šBackground or experience with legal/immigration is preferred. šGreat pattern-recognition and attention to detail šStrong language skills written and spoken; able to communicate clearly and succinctly šGood reporting function šWorks with high reliability and proactively reports on statuses of tasks šEager learner and high coachability šSharp generalist with street smarts šProactive and able to anticipate needs šExceptional organizational skills šCreative Problem-Solver
