Job Summary
Key Responsibilities:
šAdministrative Support: šManage the board member's calendar, schedule appointments, and coordinate meetings, ensuring efficient use of time. šArrange travel itineraries, accommodation, and transportation for domestic and international trips. šPrepare and organize documents, reports, presentations, and correspondence for meetings and events. šCommunication Management: šServe as the primary point of contact for internal and external inquiries, screening and prioritizing correspondence as necessary. šFacilitate communication between the board member and key stakeholders, including executives, clients, investors, and board members. šDraft, proofread, and edit emails, letters, memos, and other written communications on behalf of the board member. šBoard Support: šAssist in the preparation of materials for board meetings, including agendas, presentations, and briefing documents. šAttend board meetings, record minutes, and follow up on action items to ensure timely completion. šMaintain confidential records, files, and documents related to board activities and decisions. šProject Coordination: šSupport the board member in managing various projects and initiatives, tracking progress, and ensuring deadlines are met. šCollaborate with other team members and departments to gather information, coordinate activities, and resolve issues as needed. šLanguage Skills: šUtilize fluent English language skills to communicate effectively with internal and external stakeholders. šDemonstrate basic proficiency in German to assist with communication and correspondence as required.
Qualifications:
šBachelor's degree in Business Administration, Management, or a related field preferred. šMinimum of 5 years of experience as an Executive Assistant or Personal Assistant, preferably supporting C-suite executives or board members. šExcellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively in a fast-paced environment. šStrong written and verbal communication skills, with the ability to interact professionally with individuals at all levels. šProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications. šDiscretion and confidentiality in handling sensitive information and maintaining privacy. šProactive and resourceful with a problem-solving attitude and a high level of attention to detail. šAbility to work independently with minimal supervision while also functioning as part of a collaborative team.
