Job Summary
Key Responsibilities
šCalendar Management: Efficiently manage complex calendars, including scheduling meetings, resolving conflicts, and ensuring the leadership team is well-prepared for all engagements šEmail & Communication Management: Screen and prioritize incoming communications, draft responses, and manage correspondence on behalf of the executives šTravel Coordination: Arrange domestic and international travel, including flight bookings, accommodations, itineraries, and expense reporting. šMeeting Support: Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items šProject Support: Assist with special projects, providing research, data analysis, and support as needed šEvent Planning: Organize internal and external events, from team meetings to larger company-wide events and off-sites šStakeholder Management: Act as a liaison between the Executive Director, senior leadership, and key internal/external stakeholders šDocument Preparation: Create, edit, and manage documents, presentations, and reports with a high degree of professionalism and accuracy šConfidentiality: Handle sensitive information with the utmost discretion and confidentiality šOffice Management: Assist with general office management duties as required, including ordering supplies and coordinating with vendors
Qualifications
šExperience: 5+ years of experience as an Executive Assistant, preferably in a startup or fast-paced environment. Remote/distributed + global work experience preferred šTechnical Skills: Proficiency with Mac, Slack, Notion, and Google Workspace šCommunication: Exceptional written and verbal communication skills, with the ability to interact effectively with all levels of the organization šOrganization: Strong organizational skills with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment
