Job Summary
Responsibilities:
šReception & front desk management: welcome and check-in employees, visitors and vendors and provide onsite support for all inquiries and issues. šOffice management: coordinate meeting rooms, maintain office supplies, assist with office decor & set-up, and manage common areas to ensure a seamless and inviting workplace experience. šCoordination with property management: liaise with the office management company regarding building maintenance, security, and any office-related concerns. šFacilities: coordinate with vendors and building management for deliveries, maintenance and facility-related issues. šEquipment: track and manage inventory of office supplies, IT equipment, and other necessary materials. šAdmin: support team members with ad hoc administrative tasks, as needed. šCommunication: monitor and respond to inquiries and requests through the office Slack channel and via email.
Requirements:
šExperience in reception/front desk, office management, or guest services. šStrong customer service and hospitality skills: a friendly, approachable, and professional demeanor to provide a warm welcome to employees and guests. šAbility to anticipate needs and provide proactive assistance to both onsite and offsite employees and guests. šStrong English verbal and written communication skills to engage professionally with visitors and team members (in-person, Slack, phone). Portuguese language proficiency also preferred. šAttention to detail to maintain a clean, organized, and welcoming office space. šAbility to handle calendar scheduling, meeting coordination, and administrative support tasks efficiently. šExperience working in a fast-paced, dynamic and diverse/international office environment while maintaining a high level of hospitality.
