Job Summary
What you’ll do
📍Oversee all facility-related activities, including maintenance, repairs, health & safety, and ensuring compliance with local regulations. 📍Manage relationships with key suppliers, partners and external vendors, carrying out quality checks and ensuring Service Level Agreements (SLAs) are met and optimized. 📍Oversee technical infrastructure, ensuring smooth operations, and design policies and processes to maintain high service standards. 📍Support with lease management, including broker relationships, negotiation of lease expirations, and developing plans for renewals, relocations, and expansions for our office. Manage and support workplace projects, such as office renovations, moves, fit-outs, and repairs. 📍Oversee and execute the financial budget, partnering with Finance to track monthly and quarterly metrics. 📍Handle all workplace-related administration, including documentation, archiving, and acting as the key point of contact for HQ operations for all departments. 📍Ensure the office is functional, legally compliant, and cost-efficient by conducting regular space utilization audits and coordinating maintenance activities. 📍Manage office services, including organizing office operations, procedures, correspondence, supply requisitions, and assigning clerical tasks.
Who you are
📍5+ years of experience in office or hotel management with a strong project management background, proven facility management skills, and knowledge of Austrian workplace regulations. 📍Highly organized, with great attention to detail and a structured approach to steering multiple workplace projects while ensuring compliance. 📍Strong interpersonal skills with the ability to liaise effectively with internal stakeholders and external vendors. 📍A hands-on attitude, proactive problem-solving abilities, and a service-oriented approach. 📍Business-level (C1/C2) proficiency in both German and English (certificate required). 📍Completed education (e.g., high school or apprenticeship); fire safety and H&S training are a plus.
