Job Summary
Responsibilities:
šProvide high-level, detail-oriented executive support to the Chief Operating Officer and Capital Formation team members. šProactively manage and maintain calendars including meetings, appointments, and travel plans. šArrange domestic and international travel plans and itineraries. šPrepare weekly schedules for the Chief Operating Officer with relevant materials and background information. šProvide support for projects led by the Chief Operating Officer, including tracking project timelines, deliverables, and status updates and collaborate with other departments to ensure project goals are met. šAssist with ad-hoc projects for the Capital Formation team including but not limited to sales support, event planning and support, initiative/process tracking, assembling materials. šAct as a backup for the Office Manager in the NY office, handling day-to-day operations such as managing office supplies, coordinating with vendors, and addressing any facility-related issues šCollaborate with the Office Manager to stay updated on office procedures and policies, and step in as needed to maintain a productive work environment.
Qualifications:
šA minimum of 5 years of experience as an Executive Assistant, with at least 2 years of experience supporting C-suite executives. šProven experience managing complex calendars, travel arrangements, and high-level communications. šExceptional attention to detail and organizational skills. šStrong problem-solving skills with the capacity to think critically and find solutions to unexpected challenges. šAbility to anticipate needs and proactively address issues before they become problems. šHandle confidential information with discretion and professionalism, while always maintaining strict confidentiality. šStrong work ethic, with a commitment to excellence and continuous improvement. šProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). šFamiliarity with Salesforce is a plus.
