Job Summary

Responsibilities:

šŸ“Provide high-level, detail-oriented executive support to the Chief Operating Officer and Capital Formation team members. šŸ“Proactively manage and maintain calendars including meetings, appointments, and travel plans. šŸ“Arrange domestic and international travel plans and itineraries. šŸ“Prepare weekly schedules for the Chief Operating Officer with relevant materials and background information. šŸ“Provide support for projects led by the Chief Operating Officer, including tracking project timelines, deliverables, and status updates and collaborate with other departments to ensure project goals are met. šŸ“Assist with ad-hoc projects for the Capital Formation team including but not limited to sales support, event planning and support, initiative/process tracking, assembling materials. šŸ“Act as a backup for the Office Manager in the NY office, handling day-to-day operations such as managing office supplies, coordinating with vendors, and addressing any facility-related issues šŸ“Collaborate with the Office Manager to stay updated on office procedures and policies, and step in as needed to maintain a productive work environment.

Qualifications:

šŸ“A minimum of 5 years of experience as an Executive Assistant, with at least 2 years of experience supporting C-suite executives. šŸ“Proven experience managing complex calendars, travel arrangements, and high-level communications. šŸ“Exceptional attention to detail and organizational skills. šŸ“Strong problem-solving skills with the capacity to think critically and find solutions to unexpected challenges. šŸ“Ability to anticipate needs and proactively address issues before they become problems. šŸ“Handle confidential information with discretion and professionalism, while always maintaining strict confidentiality. šŸ“Strong work ethic, with a commitment to excellence and continuous improvement. šŸ“Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). šŸ“Familiarity with Salesforce is a plus.
